- Our family will strive to arrive prepared and on time for meetings and events, and when possible, stay until dismissed.
- Our family understands that our children are to be under their parent’s supervision at all times. Parents are responsible for and expected to be in control of their children at all times. Children should show respect for property, others, and especially elders.
- Our family will respect all speakers, leaders, teachers, other parents and students by using appropriate language, being attentive and by not interrupting or speaking out of turn.
- Our family will wear clothing that is modest and neat, knowing that we represent Christ in our appearance.
- Our family will accept instructions and have a teachable spirit.
Hualapai Hills Home Schoolers By-Laws
PURPOSE:
Hualapai Hills Home Schoolers (HHHS) is a not-for-profit Christian organization whose purposes are to mutually support and encourage one another as we educate our children, and to provide educational activities, which are easier to do in groups larger than one family.
The goals of HHHS are to:
Educate, equip, and nurture.
Provide resources and referrals for educational techniques and methods used by parents/ guardians.
Provide resources for the education of our members’ children through a lending library and organized educational activities.
Provide a forum for the education and support of home schooling families in Mohave County.
MEMBERSHIP:
Active members are parents or guardians who are home schooling in the greater Mohave County area who have paid membership dues. They may vote and participate in all functions, and will receive mailings. HHHS does not discriminate on the basis of race, creed, sex, national origin or political affiliation. Anyone may join and participate in the normal activities and benefit from the opportunities available. HHHS is a Christian organization and therefore those who serve as Board members must be in agreement with the HHHS Statement of Faith attached to these by-laws. (See Appendix C)
MEETINGS:
HHHS meets on the second Monday of each month at 7:00 p.m. (HHHS library open at 6:30 p.m.)
DUES:
Shall be paid annually per member family. The annual year begins September 1st of each year. Those joining mid-year will be pro-rated according to a schedule approved by the membership. See Appendix A for the current rate chart.
BOARD OF DIRECTORS:
The Board of Directors will consist of elected officers. The board seats shall include a Chairman/Co-Chairman, Secretary, Treasurer, Newsletter Editor, and Librarian. For a full current job description see Appendix B.
ELECTION OF OFFICERS:
The offices of Chairman/Co-Chairman, Secretary, Treasurer, Newsletter Editor, and Librarian, shall be nominated or volunteer to run for office at the regular May meeting of each year. Criteria are that a nominee must have been a member of HHHS for at least one year and agree with the HHHS Statement of Faith, (See Appendix C). In case of resignation, the Chairman/Co-Chairman shall be notified. If possible, nominations shall be solicited from the active members present and a replacement elected at the next scheduled monthly meeting. The replacement shall serve out that term of office.
TERM OF OFFICE:
The term of office begins when the last activity of the previous school year ends. Each officer can hold their office for one term. The same officer may be re-nominated and voted into the same office position again.
QUORUM:
Shall consist of at least 10 members present at the regular meeting and of those members unable to attend the meeting who have expressed their desires in writing and presented their desires to the Chairman/Co-Chairman prior to the meeting date. Issues to be voted on that will affect the bylaws will be published in the newsletter before the meeting and voted on at the following meeting.
VOTING:
Each registered family shall have one vote.
MAJORITY:
Shall consist of 50% + 1 of the people voting. A majority of the quorum may vote on any issue not previously published in the newsletter if the matter has come up since then and the matter cannot wait. A “best effort” is required to notify (via email/phone tree, direct mailing, or other means) the membership of the issue in preparation of the vote.
NEWSLETTER:
Will be sent to members at the end of each month. The newsletter shall include the names and phone numbers of the board of directors, issues to be voted on at the next meeting, a brief financial report, and other useful information. There will be no newsletter published for the months of June or July.
FILLING OF VOLUNTEER POSITIONS (not limited to this list):
Positions of Historian/Publicist, Field Trip Coordinator, Chess Club, Literary Club, Sports Club, Science Fair, Geography Bee, Book-It, Scholastic Books, Mail Info. Packets, Used Book Sale, Hostess, Email/Phone tree, Mohave Ed. Festival, and Party Planner shall be filled during the month of May. Criteria is that a volunteer must have been a member of HHHS at least one year.
THESE BY-LAWS MAY BE AMENDED AS FOLLOWS:
Proposed changes will be published in the newsletter. The changes will be discussed and voted on at the following meeting.
APPENDIX A
The current annual dues are $30.00 per year with the year starting September 1. For those joining during the year, the following schedule will be followed:
September thru December $30.00
January thru April $ 20.00
May thru August $ 10.00
APPENDIX B
CHAIRMAN/CO-CHAIRMAN:
Lead the business section of the monthly group meeting.
Be a liaison between the County Superintendent , other governmental agencies, and the group.
Be a liaison between Arizona Families for Home Education (AFHE) and the group.
Inform the support group of state level events through AFHE, or other pertinent home schooling groups.
Inform the group of legal information which is pertinent to home schooling.
Provide the following information for the Newsletter Editor: upcoming meeting business agenda; program announcements and schedules; any voted on items from monthly meeting and any other pertinent information.
Facilitate the meeting, coordinating assignments and responsibilities within the organization.
Set up programming for monthly meeting.
Coordinate volunteers to present information, demonstrations, or other valuable discussion material.
Chairman/Co-Chairman shall serve in at least one other volunteer or board position before becoming the Chairman/Co-Chairman.
Chairman/Co-Chairman must have been homeschooling for at least three years prior to becoming the Chairman/Co-Chairman.
SECRETARY:
Take minutes at all monthly meetings, and keep the same as records.
Handle any correspondence to the support group members, if needed, with the exception of the monthly newsletters, or field trip information.
Maintain a current membership roster with current contact information (phone numbers, mailing addresses and email addresses).
Maintain a current copy of the bylaws.
TREASURER:
Collect and record income from dues, fund raising activities or field trips.
Reimburse approved expenditures, pay approved bills or fees, and record the same.
Keep Board of Directors up to date on paid memberships.
Collect special fund donations and distribute as directed by the Board of Directors or membership.
Provide the Newsletter Editor with a monthly Income and Expense Report.
Balance checking account and reconcile monthly statements.
Produce an annual budget and provide reports at monthly meetings.
NEWSLETTER EDITOR:
Combine information from all coordinators in support group. Coordinators are responsible for getting the information to the newsletter editor by the 20th of the month.
Include names and phone numbers of the Board of Directors and any new members in newsletter.
Compile monthly newsletter and maintain a calendar of events.
Reproduce enough copies for each member family, plus additional copies for potential members.
Also retain one copy for HHHS files for historical purposes.
Collate, address and mail copies to members by the end of the month.
LIBRARIAN:
Receive and record books, or other items, which are gifts or on loan from members or others.
Maintain a lending system for books and items to be loaned on an honor system.
Collect fines and turn in to Treasurer for library fund.
a. Check-out times: All items are checked out “meeting to meeting”.
b. Fines imposed: The borrower is responsible for the replacement cost of any lost or damaged items.
c. Membership in the group will not be renewed until library charges are paid in full.
Clean library facilities.
Recommends and purchases approved resources for the library.

HHHS Statement of Faith
As leaders of a Christian organization, the HHHS Board of Directors believe:
The 66 books of the Old and New Testament Scriptures are the inspired and infallible word of God, and the final authority on all matters of Christian faith and practice. There is one eternally existent triune God—Father, Son and Holy Spirit—who is the Creator of all things.
Jesus Christ is true God and true man, the only begotten Son of God, who was conceived by the Holy Spirit and born of the virgin Mary. He lived a sinless life, died for our sins, and was raised from the dead in bodily form in order that we might walk in newness of life. He ascended into heaven where he intercedes on our behalf, and shall come again to judge the world and bring salvation to those who are waiting for Him.
All persons of accountable age are sinners by both nature and choice, and as a result of that sin have suffered the spiritual death of eternal separation from God. Salvation from this state is by grace alone through faith in Jesus Christ, and true saving faith is evidenced by repentance from sin.
Those who by faith in Christ Jesus have been born again receive the promised gift of the Holy Spirit to lead them into all truth and sanctify them in righteousness. It is those who are led by the Spirit of God who are children of God. The Holy Spirit also uniquely equips each true believer with spiritual gifts for building up the body of Christ, and believers are responsible before God to use their gifts for the edification of others.
These By-Laws amended and approved by the majority of attendants at the September 11, 2023 meeting of HHHS.
POSSIBLE GUIDELINES FOR VOLUNTEER COORDINATORS
(These guidelines will not be included in the by-laws.)
FIELD TRIP COORDINATOR GUIDELINES:
Coordinate and schedule educational tours and learning experiences at places of business, industry, research, history, nature, science, etc., to provide special learning experiences for the children.
Provide announcements to the Newsletter Editor on a monthly and timely basis.
Attend each field trip, or have someone attend in your place, to introduce the group and to handle any problems which may arise. Thank the tour guide, or proprietor, or whoever instructed or helped the group.
Send a letter of thanks noting positive points of the field trip. Attempt to leave a favorable and positive memory so that we will represent home education well, and so that we may return again if we so desire.
Foster good relationships with museums, program coordinators, etc., so that you will be notified of upcoming educational activities.
Provide mailing addresses for the field trips in the newsletter so that the members may send appropriate thank you notes.
PARTY COORDINATOR GUIDELINES:
Coordinate special fun events and parties throughout the year.
Organize volunteers, as individuals or committees, to plan and carry out specific events or parties.
Provide Newsletter Editor with special event or party announcements.
Report on these specific events for the newsletter.
HISTORIAN/PUBLICIST COORDINATOR GUIDELINES:
Record special events, parties, field trips, activities, etc., using the method of your choice: video tapes, scrap book, year book, etc.
Be responsible for sending appropriate pictures to local media for publicity for our group.
MENTOR COORDINATOR GUIDELINES:
Be primary contact person for new and prospective homeschoolers.
Coordinate a list of volunteer mentors to assist new homeschoolers.
Assign mentors to prospective homeschoolers that have contacted the group in writing.
Provide workshops for new homeschoolers in our support group.
EMAIL/PHONE TREE COORDINATOR GUIDELINES:
Coordinate the email/phone tree.
Make certain that each member of the support group is reached when the email/phone tree is activated.
Call all members who cannot be reached by email.
